Conference Center Policies
Normal business hours for the Reynolds Center are from 8:00 AM to 5:00 PM, Monday through Friday. All prices are based on events held within those hours. Events can be held after hours and on the weekends. After Hours is defined as before 8 a.m. or after 5:00 p.m. during the week and any time during the weekends. Should an event be held after those hours, charges may apply including, but not limited to, after hour worker costs.
The Reynolds Center has sign holders available to be used during an event. As well as an elevated screen display is located at the entrance of the Reynolds Center that can play videos or PowerPoint presentations. Any special sign requirements should be sent to the Reynolds Center no later than 24 hours before the event.
Signs may not be placed in any public area of the facility unless approved by Reynolds Center Staff. Under no circumstances will signs be permitted that could damage floors, walls, ceilings, or any part of the building.
The Inclement Weather Policy of the University of Arkansas and staff availability will be used to make building closure decisions. A copy of this policy can be found at www.uark.edu. You may also call the University of Arkansas Inclement Weather hotline (479-575-7000) to receive information regarding the University of Arkansas closing. In the event that inclement weather occurs, Walton College Staff will contact all Program Providers to offer the option of holding the event or rescheduling. Program Providers are responsible for notifying all participants.
All catering should be organized by the organization hosting the event. Catering for an event should be specified on the Room Reservations Form. Currently, an organizer can use any caterer while in the Reynolds Center or Walker Hall. A list of preferred caterers will be provided to all guests upon request. If you or your caterer uses the kitchen, it should be left in the condition in which you found it. It is the responsibility of the caterer you choose to make sure the kitchen is clean before you leave.
Alcohol is NOT permitted in the building or on the patio.
University customers are any entity directly connected to a University of Arkansas college, department, or organization. Non-University customers are any outside organization not part of the University of Arkansas.
Non-University customers can hold events either in the Reynolds Center or Walker Hall. Only events hosted by University customers are permitted in Walker Hall.
University of Arkansas or Walton College staff and departments should not reserve rooms for third party events. Doing so could result in the cancellation of the event and/or cancellation of future events sponsored by the Third Party and/or the scheduling department. Rooms in the Reynolds Center should not be reserved for weekly classes or meetings. Events that are academic in nature are encouraged to be held in Walton College building or Walker Hall. The Dean of Academic Affairs will make rare exceptions to academic events held in the Reynolds Center.
Each Program Provider is responsible for leaving room(s) in the same condition as they found it. Failure to do so could result in service fees. The Reynolds Center staff and Facilities Management personnel will clean the rooms after each event. Should a spill or stain occur, Reynolds Center staff should be notified. There may be an additional charge if the facility is left in a manner that requires significant labor outside of the normal work duties of the staff. There will be a minimum charge of $200 should extra labor be required.
The Program Provider is liable for all damages to the facility and to facility-owned equipment. The University of Arkansas will not be held liable for lost or damaged goods. Anything that could damage the facility including, but not limited to painting, taping, stapling, gluing, nailing, tacking, and glitter is prohibited. Applicable repair and cleaning charges may apply.
The University of Arkansas is a tobacco-free campus. As of July 1, 2008 all forms of tobacco -- cigarettes, smokeless tobacco, pipes, cigars, hookas - are prohibited on campus. Open flame candles, confetti (of any type) and smoke, fog or haze producing equipment are prohibited in the building.
